NJPO Communication and Digital Planner Whitelist Guidance
We want to make sure you receive your NJPO emails and the Digital Planner without any delays. Because our emails, including planner delivery, are sent through Mailchimp, some email providers may occasionally route them to spam or block them. The steps below will help ensure everything arrives safely in your inbox.
Our goal is to make this process as simple and user‑friendly as possible.
1. Help Our Emails Reach You
Add NJPO to Your Safe Senders List
To ensure smooth delivery, please add the following email addresses to your contacts or safe senders list:
- info@njpo.org
- Jkasler@njpo.org
Adding us as a trusted sender helps your email provider recognize our messages as safe.
2. If You Don’t See Our Email Right Away
Sometimes emails from Mailchimp may land in other folders. If you don’t see the planner within the expected timeframe, please take a quick look in:
- Spam
- Junk
- Promotions / “Other” tabs (Gmail, Outlook, etc.)
If you find an NJPO email there, simply mark it as “Not Spam” or “Move to Inbox.”
This helps ensure future messages arrive correctly.
3. Email Firewalls & Municipal Filtering Policies
Many municipal and government email systems use strong security filters to protect users from unwanted or potentially unsafe messages. Because NJPO sends communications, including the Digital Planner, through Mailchimp, these messages may include:
- Embedded links
- Downloadable attachments
Some municipal servers automatically flag or block these types of email content.
If you are using a municipal, government, or work-issued email address, you may need to take a few additional steps to ensure our messages can get through.
What You May Need to Do
A. Let Your IT Department Know You Are Expecting Mailchimp Emails
A quick note to your IT administrator can help avoid delivery issues. You can simply tell them:
“I am expecting emails from the New Jersey Planning Officials (NJPO), which come through Mailchimp. Could you please ensure that emails from @njpo.org and Mailchimp sending servers are allowed through our firewall?”
IT staff may whitelist:
- The domain @njpo.org
- Mailchimp sending domains and servers
- Emails containing standard Mailchimp tracking links
- Emails with attached planner files or downloadable content
B. Ask IT to Approve Emails Containing Links or Attachments
Some municipal policies automatically block emails that contain:
- Downloadable files (PDFs, guides, planners, etc.)
- Embedded hyperlinks
- Image-rich content
- “Click to confirm” or “Click to download” buttons sent through Mailchimp
Your IT team can allow these items for NJPO specifically.
4. Keeping Everything Up to Date
If you change your email address or stop receiving emails, just let us know, we’re happy to help update your information so you never miss a communication.
5. If You Cannot Modify Your Firewall Settings
If municipal policy does not allow whitelisting or exceptions, we recommend:
- Providing a personal email address (Gmail, Yahoo, Outlook, etc.) for planner delivery
- Or contacting NJPO to arrange an alternative delivery option
